When project management platform Asana opened the doors to its new 2nd-floor Warsaw HQ, it wasn’t just expanding its footprint; it was scaling at speed.
Two years earlier, the Warsaw team numbered just two. Today, it’s over 100 strong, with plans to more than double their headcount this year. Growth at that pace demands more than square footage and skyline views. It demands infrastructure that works intuitively, reliably, and globally.
Asana needed an AV ecosystem that could power hybrid collaboration, streamline training, and support all-hands communication at scale.

The Brief: Scaling Smarter
Asana’s Warsaw office represents the latest evolution of its global AV standards, internally refined to prioritise intuitive user experience, remote manageability, and frictionless collaboration.
“We were growing at a rate that was out of control,” says Nick Ereso, Lead AV Design Engineer at Asana. “We started the Warsaw office with two employees, and in two years, we’ve gone to about 150 with plans to scale significantly further. The challenge is headcount and space.”
The new HQ needed to:

The goal wasn’t just functionality. It was clarity, consistency, and collaboration without compromise.
Sustainable Smarts
Scaling fast doesn’t mean discarding what works.
Where possible, we reused existing AV assets, including displays, Neat systems, and audio kits, reducing carbon impact while accelerating delivery timelines. Redundant equipment was carefully sorted for e-waste or redeployment as gold stock, extending its lifecycle rather than sending it to landfill.

The Warsaw office also marks a milestone in Asana’s evolving AV standards — what Nick describes as their latest iteration.
“This office represents the newest version of our standards,” he explains. “It’s about creating the easiest and most efficient user experience possible.”
Designed for Humans, Not IT Manuals
At the heart of the project was a simple philosophy: if it isn’t intuitive, it won’t be used.
“My personal philosophy with AV is that it has to be incredibly comfortable for a user who isn’t IT-centric,” says Nick. “If it’s not intuitive, they won’t use it, and then your investment isn’t being spent effectively.”
The result? Spaces that feel effortless.
Built around Zoom Rooms and powered predominantly by Neat systems — representing the latest generation of their hardware — the rooms enable touch-to-join simplicity. No instruction cards. No complicated setups. No laptop dependency.
Users walk in and get started.
Behind the scenes, QSC control and DSP, Sonance audio, Shure mic systems, AVPro Edge, and Magewell ensure content sharing and audio performance remain consistently excellent.
From an operational perspective, remote management was critical. Leveraging Neat Pulse, Zoom’s dashboard, and integrated monitoring systems, the team can resolve the vast majority of issues without setting foot in the building.
“For a standard room, we can fix around 90% of problems remotely,” Nick explains. “The rooms basically take care of themselves.”
That’s not just convenience, that’s operational efficiency at scale.
Collaboration, Culture, and Coming Into the Office
Asana’s previous Warsaw setup included temporary meeting spaces that didn’t fully support hybrid collaboration. The new HQ shifts that dynamic entirely.
With an optimised conference-room-to-desk ratio, soundproofed environments, improved lighting, and fully realised AV experiences, the space is built for both in-person collaboration and seamless global connectivity.
“It’s a very collaborative office,” Nick says. “Going from temporary rooms to this new space with the right setup, the right acoustics, and enough rooms so people aren’t constantly searching, it really changes how people work.”
In a hybrid world, the office needs to offer something more than what employees have at home, and the Warsaw HQ does exactly that.
A Partnership Built on Adaptability and Alignment
While the technology is impressive, what truly defines this project is partnership.
“The team at Twisted is great to work with,” says Nick. “Adam Tozer, Hannah Bennett, the engineers; they’re in Asana with us, so everyone’s looking at the same information. Nothing gets lost. It makes tracking projects, due dates, and decisions so much easier.”
That shared visibility ensured clarity at every stage of the Warsaw rollout and across regions.
“We’ve developed these standards hand in hand,” Nick adds. From working within warm-shell environments to adapting to evolving equipment preferences, flexibility has been key.
“We move into a lot of spaces that aren’t blank canvases. Being adaptable and willing to work with what we have makes a big difference. Twisted has been a strong partner across EMEA and APAC. I see no reason to change that.” That partnership has recently been reaffirmed, with Asana renewing its global service contract with Twisted for a further three years — extending a relationship built on consistency, flexibility, and trust.
